OFFICE ASSISTANT POSITION DESCRIPTION

 

Position title:       Office Assistant

Classification:      Non-exempt, Full time

Reports to:             Executive Director

Date:                         December 2018

 

General Summary

The Office Assistant is the first point of contact for all program participants and community members with Puente. The Office Assistant needs to have familiarity on all programs and the requirements for participation to assess needs and direct program participants to appropriate programs. Office Assistant also provides back up support for all office activities.

 

Essential Job Responsibilities

  • Greet and determine needs of every visitor to Puente
  • Provide office support services to ensure efficiency and effectiveness within the Puente offices
  • Pick up and deliver mail
  • Maintain the filing system and file all correspondence
  • Assist in the planning and preparation of meetings, conferences and conference calls
  • Order and maintain an inventory of office supplies
  • Update the information collage in the reception area
  • Provide word processing and secretarial support
  • Answer phone calls and handle caller’s inquiries whenever possible
  • Receive, direct and relay telephone and fax messages
  • Support the Executive Director and other staff as requested
  • Make copies and provide other office services, as requested
  • Keep reception in good order
  • Receive donations and assist with distribution
  • Make bank deposits under direction of the Executive Director
  • Empty trash and recycling every day
  • Assist with the distribution of publicity materials for all programs
  • Coordinate transportation under supervision of Safety Net Services Manager
  • Maintain shed inventories
  • Demonstrate continuous efforts to improve operations, decrease turn-around times, streamline work processes and work cooperatively and jointly to provide quality services
  • Attend relevant meetings as required by supervisor
  • Other duties as necessary

 

Qualifications/Skills Required

  • High School Diploma or Equivalency or significant experience in customer service
  • Good verbal and written communication skills
  • Good skills with Microsoft Office products, including: Word, Excel and Outlook
  • Current California Driver’s License and ability to drive to work related functions in and around Pescadero, La Honda, Loma Mar and San Gregorio and Half Moon Bay
  • Commitment to Puente’s vision of supporting a healthy, inclusive, and sustainable South Coast community
  • Ability to communicate fluently in English and Spanish, both orally and written
  • Knowledge of the South Coast or experience working in a rural community, preferred
  • Available to work evenings and weekends, as needed
