EDUCATION ASSOCIATE POSITION DESCRIPTION

Position title:                       Education Associate II

Classification:                     Non-exempt, Full-time

Reports to:                            Education Director

Date:                                       Early February 2019

 

Position summary

The Education Associate works closely with Puente’s Education Director to strengthen educational opportunities for children, youth, adults and families on the South Coast. The program includes identifying tutoring opportunities for school age children K-12; arranging logistics for programs such as transportation, interpretation, childcare and food; and assisting with tracking program results.

Essential Job Responsibilities

  • College Readiness: Work closely with our seniors and college students on the following:
  • Keeping an accurate Education Plan for each student
  • Identify financial aid and scholarship resources
  • Collaborate with other staff in the organization and other agencies to facilitate and deliver education programs
  • Enter data for all educational programs and help track and analyze program data
  • Promote and administer Puente’s Adult Literacy Program for native Spanish speakers, “Plaza Comunitaria”
  • Promote and arrange tutoring for students to obtain High School Equivalency Certificate (GED or Hi-SET)
  • Facilitate and document ESL classes in Pescadero, including arranging transportation, food, childcare and interpretation needs
  • Coordinate tutoring programs for school age children K-12
  • Coordinate driver’s license classes, computer literacy classes, Spanish literacy classes, and other education programs as required
  • Assist with the Youth Program. This includes, but is not limited to: finding host sites for internships, preparing applications for program, promoting program with South Coast youth, assisting with organizing meetings, attending field trips, coordinating youth schedules, coordinating youth transportation, and conducting both pre and post interviews
  • Coordinate volunteers for education programs
  • Provide information, referrals and coordinate efforts to link Puente students and participants to appropriate community services
  • Ensure maintenance of Puente’s Learning Center including its furniture, equipment, resources, etc.
  • Work with Puente’s Outreach Coordinator to do outreach for all education programs

 

Qualifications

  • BA in Education, Sociology or related field
  • Experience working in a rural community
  • Demonstrated proficiency in Spanish and English
  • Experience with the admissions process for the UC/CSU and community college systems
  • Excellent verbal and written communication skills
  • Experience with database systems
  • Current California Driver’s License and ability to drive to work related functions in and around Pescadero, La Honda, Loma Mar and San Gregorio/Southern San Mateo County area.

  • Knowledge of the South Coast or experience working in a rural community, preferred
  • Flexibility to work evenings and weekends, as needed
  • Ability to work independently and manage multiple priorities and projects outlined in various work plans
  • Able to multitask and work on numerous projects at one time
  • Adapt easily to new protocols and changing environments

Office Assistant

OFFICE ASSISTANT POSITION DESCRIPTION

 

Position title:       Office Assistant

Classification:      Non-exempt, Full time

Reports to:             Executive Director

Date:                         December 2018

 

General Summary

The Office Assistant is the first point of contact for all program participants and community members with Puente. The Office Assistant needs to have familiarity on all programs and the requirements for participation to assess needs and direct program participants to appropriate programs. Office Assistant also provides back up support for all office activities.

 

Essential Job Responsibilities

  • Greet and determine needs of every visitor to Puente
  • Provide office support services to ensure efficiency and effectiveness within the Puente offices
  • Pick up and deliver mail
  • Maintain the filing system and file all correspondence
  • Assist in the planning and preparation of meetings, conferences and conference calls
  • Order and maintain an inventory of office supplies
  • Update the information collage in the reception area
  • Provide word processing and secretarial support
  • Answer phone calls and handle caller’s inquiries whenever possible
  • Receive, direct and relay telephone and fax messages
  • Support the Executive Director and other staff as requested
  • Make copies and provide other office services, as requested
  • Keep reception in good order
  • Receive donations and assist with distribution
  • Make bank deposits under direction of the Executive Director
  • Empty trash and recycling every day
  • Assist with the distribution of publicity materials for all programs
  • Coordinate transportation under supervision of Safety Net Services Manager
  • Maintain shed inventories
  • Demonstrate continuous efforts to improve operations, decrease turn-around times, streamline work processes and work cooperatively and jointly to provide quality services
  • Attend relevant meetings as required by supervisor
  • Other duties as necessary

 

Qualifications/Skills Required

  • High School Diploma or Equivalency or significant experience in customer service
  • Good verbal and written communication skills
  • Good skills with Microsoft Office products, including: Word, Excel and Outlook
  • Current California Driver’s License and ability to drive to work related functions in and around Pescadero, La Honda, Loma Mar and San Gregorio and Half Moon Bay

Program Director

Program Director Job Description

Position title: Program Director
Classification: Exempt, Full Time
Reports to: Executive Director

Position Summary 

The Program Director provides leadership and oversees the development, coordination, and administration of all aspects of Puente’s programs including planning, organizing, leading, and evaluating. Puente’s focal Programs include Economic Security, Community Health and Behavioral Health, Advocacy and Education.

Essential qualifications 

  • Bachelors or Master’s degree (preferred) in Non-Profit Administration or related field and at least 3 years of experience or a combination of successful experience in program development and management and supervision as well as administration of programs
  • Bilingual (Spanish/English)- with native or near-native proficiency
  • Knowledge and experience working in an underserved community, preferably rural
  • Ability to demonstrate clear evidence of commitment and understanding of diversity, including but not limited to socio-economic, cultural, and ethnic backgrounds of the community and staff
  • Ability to work effectively with and manage a culturally diverse staff
  • Ability to create and sustain relationships with other organizations including government, non-profits, foundations, faith based organizations and corporations
  • Strong organizational skills including the ability to manage multiple concurrent projects
  • Excellent written and oral skills in English and Spanish
  • Experience with budget development and management
  • Strong computer skills including but not limited to Microsoft Office and data management software
  • Strong ability to evaluate and analyze data and make sound decisions based on interpretation of data
  • Significant supervisory experience of at least four direct reports
  • Ability to maintain effective working relationships
  • Willingness to work evenings and weekends, as needed

Program Responsibilities 

The Program Director performs a wide range of duties including but not limited to:

Program Development, Management and Evaluation 

  • With Executive Director and Management Team, development of programs in accordance with Puente’s mission y values
  • Provide leadership and direction to program managers in developing, implementing, and evaluating programs
  • Development and implementation of programs’ long-term goals and objectives to achieve successful outcomes
  • Ensure that program activities operate in accordance with Puente’s policies and procedures
  • Coordinate the delivery of services (from outreach to evaluation) among different programs to increase effectiveness and efficiency
  • Expand current program evaluation framework to assess the strengths of the programs and to identify areas for improvement
  • Develop and update instruments to document program activities, as necessary, providing oversight and quality control for data management efforts
  • Ensure programs meet funding requirements, data collection and quality customer service
  • Identify and evaluate the risks associated with program activities and take appropriate action to manage the risks
  • Recruit, cultivate and coordinate volunteers

Leadership 

  • Ensure that programs further Puente’s mission to build a healthy, sustainable and inclusive South Coast community, maintaining standards of excellence in all activities
  • With Executive Director and Development Director, draft competitive funding proposals to ensure continuous delivery of program services
  • Communicate with program participants and other stakeholders to gain community support and to solicit input to improve programs
  • Ensure programs are delivered according to the confidentiality/privacy policy of the organization including overseeing the collection and maintenance of participants’ records
  • Maintain Executive Director fully informed of program development and assist, as necessary, with internal and external communications
  • Represent the organization with other government agencies, foundations, supporters and general public, as necessary
  • Perform other related responsibilities as may be assigned

Staff 

  • In consultation with the Executive Director, recruit, interview and select well-qualified program staff
  • Supervise program staff by providing direction, input and feedback and enhancing collaboration across program areas

Finances and Development 

  • Assist Executive Director in development of annual budget and operating plan to support Puente’s program areas
  • Ensure that the programs operate within approved budgets, monitoring and approving all budgeted program expenditures according to established accounting policies and procedures
  • Participate in development team meetings and assist with Puente’s fund development strategies
  • With Executive Director and Program Managers, write reports as needed and assist with the creation of organization’s publications including newsletters and annual report

  • Salary range $75,000 to $90,000 based on skills and experience
